We collect certain personal data about our clients, potential clients, partners, individuals who want to hear about our services, news, as well as recruitment candidates.  

We collect this data so that we can, for example, be able to respond to requests for new business, send newsletters to our subscribers, and process job applications sent to us via our website or email. We also use analytics on our website to learn more about how it is used and how we can improve it.

Recruitment candidates 

When you apply for a job at Maya or one of our group companies or we contact you for recruitment purposes, we may collect the following information about you (you may have provided this information on our website, email, LinkedIn, or we’ve got the information during the recruitment process or from public sources if allowed under the applicable law): 

  • Your name and contact information 
  • Professional interests & skills 
  • Cover letter, CV, other files and information that you personally wish to share with us 
  • Link to your LinkedIn and/or other possible profile (e.g. Github) 
  • Other relevant information we’ve got during discussions, interviews, and other communication between you and Maya, which is necessary for processing the application.  

We use this data only for the purposes of processing your application and communicating with you during the recruitment process. We don’t share your information with anyone else without your consent unless required by applicable laws or requests by public authorities.  

Clients, partners , and other contacts 

Our customers and their employees privacy matter to us. Therefore we hold only necessary data in order to provide our services and to be able to stay in touch with you. We collect and process the following data: 

  • Name, title and contact information 
  • Information on your organisation and your position in it 
  • Your request and communication with Maya and the necessary information such as services ordered and provided, billing information, information on meetings, and communication between you and Maya).  
  • Information on marketing or invitations to our events concerning you. 

We obtain this data when you send contact requests to us, by receiving the data from a reliable public source or in the context of our services to you or through our existing customership and co-operation.  

We use this data for 

  • Managing our business relationship with you 
  • Processing business opportunity requests sent to us, providing our services and information sharing of Maya’s service offering related to such requests.

Your data is not shared with any other parties outside of Maya’s group companies with out your consent or unless required by applicable laws or public authorities. We may share your information data with our trusted partners in processing your business request or provision of our services requires us to do so.

7. Transfer of data outside of the EU/EEA 

Maya doesn’t transfer your data outside EU or EEA. In case of providing our services or usage of sub-contractors, we may share your information with our trusted partners in processing your business request or provision of our services requires us to do so.  

8. How long do we store your data? 

Recruitment candidates: We store the data collected in connection with the recruitment process for 3 years from the date of the last contact with you. If you wish, we may also store your data for a longer period in order to get touch about future opportunities.  

Our customers, and requests for new business: We store data only as long as is necessary for the respective purpose. This period depends on the case at hand. Therefore we review the necessity of our data regularly and delete data when it’s no longer needed.  

9. What rights do you have? 

You have the right to request access to, erase, and correct your personal data as held and processed by Maya, as well as to send us any other requests based on the applicable data protection laws (e.g. request restriction of processing of the data). Further, you always have the right to prohibit us from sending event invites or other marketing messages to you. Please send any requests concerning your data to the email addresses set out above in Section 2. 

Data protection laws are supervised in Finland by the Finnish Data Protection Ombudsman. If you have questions belonging to the jurisdiction of the Data Protection Ombudsman, or if you wish to lodge a complaint regarding the processing of personal data, you may contact the Data Protection Ombudsman’s office as instructed at www.tietosuoja.fi.

 

10. How do we secure your data? 

All personal data we collect is confidental. Your data can only be accessed by the Maya employees or our group employees when it’s necessary for them to perform their work related to your data.  

Our company network and equipment have been secured by using appropriate measures to protect your personal data.
